Defines the administrative regulations governing the SOPPA Fellowship Programme. It provides official administrative policies for fellowship directors, candidates, and accredited centres.

Duration & Leave Policy

  • Duration: As formally approved by SOPPA. Training shall normally be continuous.
  • Leave Protocol: Leave follows institutional regulations.
  • Extension: Extended leave beyond permitted limits requires extension of training tenure.
  • Records: Comprehensive leave records must be maintained by the Fellowship Director.

Inter-Centre Transfer Policy

  • Transfers are permitted only with written approval of both institutions and SOPPA.
  • The fellow's complete cumulative training record accompanies them to the receiving centre.
  • Competencies and rotations already completed & verified shall be fully recognized.

Interruption of Fellowship & Fellow Status Architecture

Temporary interruption of fellowship is permitted for approved reasons upon written application. The maximum proposed interruption period is 12 months (configurable by SOPPA). Completed training is recognised upon formal resumption.

Official Fellow Status Classifications:

ACTIVE

Actively pursuing fellowship training at an accredited centre.

INTERRUPTED

Approved temporary pause (max 12 months configurable).

COMPLETED

Fulfilled all clinical, research and assessment requirements.

WITHDRAWN

Formally resigned or discontinued fellowship program.

Academic, Research & Assessment Requirements

Core training deliverables expected of every registered fellow prior to final certification.

Academic Requirements

  • Minimum 2 structured academic sessions per week
  • Mandatory minimum attendance as prescribed
  • Protected academic time strongly encouraged
  • Research integrated throughout training tenure

  • Participation in ongoing research, audit or QI
  • Documentation of role & % contribution
  • Presentation of at least 1 case report or case series

  • Continuous workplace-based assessments (WPBAs)
  • Formal mid-term evaluation review
  • Portfolio and e-logbook verification
  • Final fellowship exit assessment

Certification Prerequisites

Award of the SOPPA Fellowship Certificate requires meeting five mandatory conditions:

Successful completion of approved curriculum
Completion of all mandatory clinical rotations
Satisfactory performance across all assessments
No outstanding administrative or SOPPA dues
Formal approval by SOPPA Fellowship Committee

  • Maintain highest ethical standards in patient care & academic work.
  • Respect institutional rules, hospital policies and clinical protocols.
  • Strict maintenance of patient confidentiality is mandatory.
  • Exemplary professional behaviour expected toward patients, staff and peers at all times.

Appeals Process

Appeals regarding assessment, registration or disciplinary actions must be submitted in writing. They are initially reviewed by the Fellowship Committee. The SOPPA Executive Committee decision shall be final unless SOPPA regulations specify otherwise.

Appeals must be submitted within prescribed timeline window.

Amendments & Policy Versioning

These regulations may be revised periodically by SOPPA. The latest approved version published on the portal shall supersede previous versions while archived versions remain accessible for record transparency.
